Minutes of an Annual General Meeting
held at 4pm on Sunday 23rd January 2011
at Amersham Community Centre

Present: Mark Buckley-Sharp (Regional Organiser/Chairman), Mary O’Connor (Regional Treasurer), and about 15 members.
Apologies for Absence: Carole Niven

1.           The Minutes of the previous Annual General Meeting held on 18th October 2009 were agreed.

2.           There were no matters arising from the Minutes

3.              Regional Organiser’s Report (Mark Buckley-Sharp)
The report is attached to the Minutes and appears as part of the November 2010 Newsletter circulated to regional members. The report was accepted.

4.              Advisory Board Reprepsentative’s Report (Mark Buckley-Sharp)
The report is attached to the Minutes and appears as part of the November 2010 Newsletter circulated to regional members. The report was accepted.

5.              Regional Treasurer’s Report (Mary O’Connor)
The financial reports for the year ending 31st December 2009, and for the year ending 31st December 2010 are attached to the Minutes. They show each event itemised, the general administrative expenditure and the income from HQ. At 31st December 2010, the resources available to the Region were £6232.

6.              Election of Committee:
As set out in the Regional Organiser’s report the Society has changed the governance of Regions so that the Regional Organiser is now required to be elected annually by the Region, rather than being appointed without duration by Council.
The following were elected to hold office until the next AGM
Regional Organiser/Chairman: Mark Buckley-Sharp ARPS
Regional Treasurer: Mary O’Connor LRPS
Committee Members: Geoffrey Einon ARPS, David Fletcher, Ted French ARPS, Trish French ARPS, Chris Kislingbury ARPS, Carole Niven LRPS, Max Pickering LRPS, Paul Styles LRPS, Sheila Wilder, Ruth Wyss ARPS.
The Committee may coopt other members.

7.              Election of Advisory Board Representative:
Under the Bye-Laws, the Region elects its representative every two years to coincide with Council and other elections.
Mark Buckley-Sharp ARPS was elected to hold office for two years from September 2011.

8.         Any Other Business:
Noted that the Members’ Print Exhibition due in October 2010 had to be cancelled for lack of interest. The equivalent date in 2011 has been booked. Discussed various ways of making the event attractive, including promoting via Clubs. The Committee will need to consider the organisation in detail.
