Minutes of the Annual General Meeting
held at 2pm on Sunday 18th October 2009
at Amersham Community Centre

Present:  Mark Buckley-Sharp (Regional Organiser) and about 50 members.
Apologies for Absence:  Mary O’Connor (Regional Treasurer) 

1.         The Minutes of the previous Annual General Meeting held on 19th October 2008 were agreed.

2.         There were no matters arising from the Minutes

3.            Regional Organiser’s Report (Mark Buckley-Sharp)
The report is attached to the Minutes, and appears as part of the November 2009 Newsletter circulated to regional members. The report was accepted.

4.            Advisory Board Representative’s Report (Mark Buckley-Sharp)
The report is attached to the Minutes, and appears as part of the November 2009 Newsletter circulated to regional members. The report was accepted.

5.            Regional Treasurer’s Report (Mary O’Connor)
The report was read to the meeting. The report and the accounts for the year ending 31st December 2008 are attached to the Minutes. The main feature again is the substantial balance of funds assigned to the Region. The Committee recently recommended that £5000 is returned to general Society funds, and this was effected in October 2009. The report was accepted.

6.         Election of Committee for 2009-2010
Note: The Regional Organiser is appointed by Council.
The following were elected:  Judy Buckley-Sharp LRPS, Geoffrey Einon LRPS, David Fletcher, Ted French ARPS, Trish French ARPS, Chris Kislingbury ARPS, Carole Niven LRPS, Mary O’Connor LRPS (Regional Treasurer), Max Pickering LRPS, Paul Styles LRPS, Sheila Wilder.

7.         Election of Advisory Board Member
After checking the Society’s Rules, it appears that Mark Buckley-Sharp was an alternate for Mary O’Connor until 2007, and has been the region’s elected member for a first election cycle in 2007-2009. There is an eligibility limit of four election cycles.
Mark Buckley-Sharp was elected for the 2009-2011 election cycle.

8.         Any Other Business
Discussed: The availability of e-mail broadcast of messages to members. Noted that members need to keep their e-mail address up to date with Membership to receive any such messages. Members can also ask Membership to be opted-out of receiving e-mail broadcasts.
